Speakers Trust Meeting – Thursday, November 20, 2003

MINUTES:

Bylaws
1. Discussion regarding the language used in how officers are selected
2. Decision to keep nominated and appointed, with definitions included
3. Approved by all members
Law Review Transcripts
1. Colleen e-mailed editors of the law reviews and will wait to hear back
Location of documents
1. All documents shall be saved in the Speakers Trust folder on the X drive moving forward
2. To include, but not limited to meeting minutes, bylaws, memos to club leaders, mission statement, all forms and applications
3. Jens will be able to retrieve necessary forms for the website from this location
Mission Statement
1. Michelle and Rakhi drafted a mission statement.
  1. Everyone liked it, the following points will be added:
    1. Open-door policy with clubs
    2. Importance of selecting speakers who are not incredibly controversial, in efforts to bring a speaker who will be of interest to many students
  2. New version to be inserted in bylaws
Outreach to Clubs
1. Josh has the list of clubs and club leaders
  1. Too many to go see each of them
  2. Will compose an email to all club leaders at the beginning of the spring semester and announce a meeting of all club leaders with the Speakers Trust to go over the process and hand out packets of information
Website
1. Jens has been working on it and it should be up and running by the next meeting
2. Bylaws, Mission Statement, Memo and Speaker Arrangements will, ultimately posted, along with all essential forms and applications
3. Photos — still working on it … everyone to ask around
Ideas for Speakers
1. Everyone likes the idea of having Tom Ridge come to speak
  1. Tim has an in and will get an invitation from Paul (to be drafted by Jens and Tim) in Ridge's hands ASAP
2. Everyone to bring ideas for additional speakers the Trust might sponsor to the next meeting
3. Michael Kane (sp?) — Tim's suggestion
4. Senator Mitchell — Paul's suggestion, will have to suggest specific price in ask
Next Meeting
1. Tuesday, December 2 nd at 7pm in room 032D
2. Who's doing what now:
  1. Paul: update bylaws and get them to Sean Farrell
  2. Jens: webpage and working on the letter to Ridge with Tim
  3. Tim: working on Ridge letter and getting it to Ridge's people
  4. Brendan: photos for the website
  5. Josh: email to club leaders (get addresses and work on draft)
  6. Matt: continuing work on the memo
  7. Rakhi and Michelle: updating mission statement & adding to bylaws
  8. Colleen: finish up speakers arrangements and move to X drive
  9. Abigail: distribute minutes and save to X drive
