Speakers Trust Meeting — Thursday, November 13, 2003

Present: Paul Toner, Jens Wagner, Colleen Piker, Rakhi Patel, Michelle Szelewski, Brendan Hogan, Josh Hill, Matt Hahne, Abigail Whiffen

Absent: Timothy Wachter, Sean Farrell, Laura McDonnell

MINUTES:

1. Bylaws were reviewed, discussed and approved by a unanimous vote. Changes include timeline for selecting members, responsibilities of officers and guidelines for interacting with the student body and student organizations.
   Discussion: Josh will compile a list of student clubs and when they meet so that we can divide up the clubs and attend meetings to discuss the process behind bringing speakers to campus with each of them.
   Moving forward, the Trust will send out a memo to all club leaders at the beginning of each year. Matt Hahne and Josh Hill are working on a draft, which we will discuss at next week's meeting and, ultimately, give to club leaders with a packet of information about the process of bringing a speaker to campus and the goals of the Trust.
   Should we send someone to SBA meetings on a regular or semi-regular basis?
2. Next meeting will be Thursday the 20th of November at 7:00pm in room 032D
3. Ideas for the speaker that the Trust will sponsor this year:
   1. Governor Rendell
   2. Tom Ridge
4. The Trust will now have a web committee, which Jens will lead.
   1. Website to include: memo to club presidents, photos of speakers, all forms and checklists for bringing speakers to campus, links to officers, list of members of the Trust, mission statement
   2. Jens will work with IIT to get a link set up and gather necessary documents from other members of the Trust as needed
   3. Rakhi and Brendan will try to find photos of previous speakers to use on the webpage
5. Mission Statement: Rakhi and Michelle will draft a mission statement for the Trust for the next meeting
6. Memo to Club Presidents: Matt and Josh will bring a draft to the next meeting. Memo will include:
   1. Type of speakers we would like to see clubs target (academics, high-level)
   2. How to invite a speaker
   3. Application to bring a speaker
   4. Logistics around bringing a speaker
   5. How to negotiate price
   6. Co-sponsoring information (both within the School and with the Army War College and Dickinson College )
   7. A/V request information
   8. Transcripts of talks for law reviews
7. Next Meeting:
   1. Review Memo
   2. Discuss potential speakers
   3. Review list of clubs and assign people to attend meetings
